Why firms look at AI intake

People call the firm that answers.

Someone who’s just been hurt, arrested or served papers usually doesn’t leave a voicemail and wait. They call the next firm on the list. If you’re paying for ads or SEO, every unanswered call is money spent on a lead you never got to talk to.

Evenings and weekends

Plenty of people only have time to call about a legal problem once their own workday is over, after your front desk has gone home.

Busy front desk

Your intake staff are juggling existing clients, court calls and walk-ins. New callers end up on hold, or in voicemail.

Message-takers, not intake

A basic answering service takes a name and number. Your team still has to call back, screen and schedule, often the next day.

Clear boundaries

What the AI does, and what it never does

It’s an intake assistant, not a lawyer. It handles the front desk work and leaves the legal judgment to your attorneys.

It does

  • Answers calls, web chat and texts 24/7, in English and Spanish
  • Tells every caller it’s an AI assistant, at the start of the conversation
  • Separates new clients from existing clients, vendors and spam
  • Asks your practice-area intake questions and captures names for your conflict check
  • Books consultations in Google Calendar or Cal.com (Cal.com also connects Outlook/Microsoft 365 calendars) and texts a confirmation
  • Logs the lead, summary and transcript to Clio, Lawmatics or MyCase
  • Escalates urgent matters to a human by transfer, text or email

It never

  • Give legal advice, evaluate a case or predict an outcome
  • Pretend to be a person or an attorney
  • Create an attorney–client relationship (and it says so)
  • Quote fees or make promises your firm hasn’t approved
  • Decide conflicts or accept representation; your attorneys do that
  • Sell or advertise with your callers’ information

English & Spanish

Intake in your callers’ language

The AI can hold the whole intake conversation in Spanish: greeting, screening questions, booking and text confirmations. Your team still gets the summary in English. Included on every plan.

Useful if part of your community prefers Spanish but nobody bilingual is on the phones after hours.

Asistente de IA

Gracias por llamar a la firma. Soy un asistente de inteligencia artificial, no un abogado, y no puedo dar asesoría legal. ¿Me permite hacerle unas preguntas para que un abogado pueda revisar su caso?

Practice areas

Built for high-intake, phone-driven practices

We start from intake templates for each area below, then tailor every question to how your firm screens. Examples of what the AI asks:

Personal injury

Type and date of incident, where it happened, injuries and treatment so far, insurance involved, and whether they already have a lawyer.

Family law

Divorce, custody, support or protective-order matter, children involved, existing court dates, and the other party’s name for your conflict check.

Criminal defense

Charges or arrest details, whether someone is in custody, the next court date, and who is calling (the person charged or a family member).

Immigration

Type of matter (family, employment, asylum, removal), current status, any upcoming deadlines or hearings, and preferred language.

Estate planning

Wills, trusts, probate or powers of attorney, rough family situation, urgency (e.g. health concerns), and whether they want an in-person or virtual consult.

Employment

Employer name, type of issue (termination, wages, discrimination, harassment), key dates, and whether they’re still employed.

Questions are drafted with you and approved by your firm before going live.

FAQ

Questions lawyers ask us

Ethics, recording consent, data, urgent calls and setup. Something else on your mind? Contact us.

Is it ethical for a law firm to use an AI receptionist?
Many firms already use answering services and intake software, and bar regulators have started publishing guidance on AI specifically. For example, ABA Formal Opinion 512 (opens in a new tab) (July 2024) covers lawyers’ use of generative AI tools. Recurring themes include supervising nonlawyer assistance (Model Rule 5.3), confidentiality (Rules 1.6 and 1.18) and not misleading the public. We design around these: the AI always says it’s an AI, never gives legal advice or evaluates a case, collects intake information only, and follows a script your firm approves. Your firm remains responsible for compliance with your own state’s rules, so please review your setup against your state bar’s guidance. We’ll give you our scripts and data-flow documentation to help.
Will callers know they’re talking to an AI?
Yes. Every call, chat and text conversation starts with a clear statement that the caller is speaking with an AI assistant for your firm, and the AI answers honestly if asked again. Callers can ask for a person at any time; the AI then follows your escalation rules (transfer, callback or message).
Does the AI give legal advice?
No. It is instructed never to give legal advice, predict outcomes, quote fees you haven’t approved, or say whether someone has a case. It gathers the facts your intake team needs, explains next steps your firm has approved (like booking a consultation), and tells callers that speaking with the AI does not create an attorney–client relationship.
Are calls recorded? What about consent?
Recording is optional. When it’s on, the AI announces at the very start of each call that the call is recorded and transcribed, before any intake questions. Some states require every party’s consent to record, so we announce it for every caller by default, wherever they are. You can turn recording off and keep only the written summary. Ask your counsel to confirm the wording works for your jurisdiction.
How is our data handled and secured?
Intake data travels over encrypted connections and is available only to your firm and the Suntec team members who support your account. We don’t sell caller data or use it for advertising. We rely on established third-party providers for telephony, speech and AI processing; before go-live we give you the current provider list and a data-flow overview, and we agree on retention periods with you. If your firm needs a confidentiality agreement or specific security terms, send them over and we’ll review them.
What happens with urgent calls?
You decide what counts as urgent: for example, someone in custody, a hearing tomorrow, or an imminent filing deadline. For those, the AI can transfer the call to an on-call number or immediately text and email the person you choose, and it tells the caller what will happen next. If a caller describes an emergency or immediate danger, the AI tells them to hang up and call 911.
How long does setup take?
After a kickoff call, we draft your intake script and call flow, you review and approve it, and we test it together before any real caller hears it. Voice and web chat are typically live within 48–72 hours of a signed agreement and a completed onboarding questionnaire, as long as you approve the script and grant access in that window. SMS is added after carrier A2P 10DLC registration, which typically takes 2–3 weeks. Calendar and case-management sync connect as soon as access is set up. These are typical timelines, not guarantees.
Do we keep our phone number?
Yes. You keep your existing number and set conditional call forwarding (for example after hours, or when nobody answers within a few rings) to a line we provide. Web chat is a small snippet added to your website, and texting uses a number we set up for your firm.
Does it really work in Spanish?
Yes. On every plan, including After-Hours & Overflow, the AI can hold the full intake conversation in Spanish, and you still get the summary in English for your team. You can try both languages on the demo.
What about existing clients, opposing parties or sales calls?
The AI first works out who is calling. Existing clients get a message taken and routed to the right person; vendors and solicitors are politely screened out. The AI captures names of other parties involved so your team can run a conflict check. It does not make conflict decisions itself.
Can we try it before committing?
Yes. Ask about a 14-day pilot on an overflow line: forward only the calls your team misses, review every transcript, then decide.
