It covers:
- Website visitors to suntecai.com;
- People who contact us, book a call, or sign up for our services;
- People who use our demo (demo phone line or web-chat demo); and
- Callers, chatters and texters who reach an AI receptionist we operate on behalf of a law firm client (see Section 7).
2. Information we collect
Information you give us
- Forms and checkout: if you sign up or pay through a form or checkout page, the details you enter (such as name, business name, email, and billing details handled by our payment processor).
- Emails and calls with us: whatever you choose to include.
- Booking a call: if you book through our scheduling tool, it collects the details you enter (such as name, email and preferred time) and shares them with us.
Demo interactions
If you use our demo line or chat demo, we may record and transcribe the conversation and keep a summary so we can operate and improve the demo. The demo uses a fictional firm. Please don’t share real confidential or sensitive information.
Information collected automatically
Like any website, our hosting provider automatically processes basic technical data needed to deliver pages and keep the site secure, such as IP address, browser type, requested page and time of the request (server logs). We do not use this data to build profiles of visitors.
3. Cookies, analytics and tracking
This website does not set cookies and does not use analytics, advertising or tracking pixels. Our fonts and images are served from our own site. If you choose to use a third-party feature we link to or embed (for example our scheduling tool or the chat demo), that provider may use its own cookies under its own privacy policy. If we add analytics in the future, we will update this policy first.
4. How we use information
- To respond to you, hold the calls you book, and set up and bill the services you buy;
- To send marketing emails, only if you opted in (you can unsubscribe at any time);
- To provide, maintain, secure and improve our website, demo and services;
- To provide our services to law-firm clients under our agreements with them;
- To comply with law, enforce our terms, and protect our rights and the safety of others.
5. How we share information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share it only:
- With service providers that help us run our business and services, such as website hosting, email delivery, form processing, scheduling, telephony and SMS, speech recognition and synthesis, AI language-model processing, and data storage. They may use the information only to provide services to us.
- With the law firm whose AI receptionist you contacted (see Section 7).
- For legal reasons, if required by law or legal process, or to protect rights, property or safety.
- In a business transfer, such as a merger or acquisition, subject to this policy’s protections.
Where an AI provider offers settings that prevent customer data from being used to train its general models, we use those settings.
6. Text messages (SMS)
If you agree to receive text messages from us or from a law firm we serve, message frequency varies and message and data rates may apply. Reply STOP to opt out or HELP for help. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with any third parties, except service providers that deliver the messages for us.
7. When we answer calls for a law firm
When you call, chat with or text a law firm that uses Suntec AI, we process your information on behalf of that firm, under its instructions and our agreement with it. This may include your name and contact details, the reason for your inquiry, details you share about your situation, call recordings (where announced), transcripts and summaries, and appointment details. That information is provided to the firm, typically through its case-management system, calendar, email or text alerts.
The law firm decides how your information is used and how long it is kept, and its own privacy policy applies. If you want to access, correct or delete information you gave to a firm’s AI receptionist, please contact that firm. If you contact us instead, we will forward your request to the firm where appropriate.
8. Data retention
We keep personal information only as long as needed for the purposes above. Lead-form and email data is kept until you ask us to delete it or it is no longer needed. Demo recordings and transcripts are kept for a limited period to operate and improve the demo. Data we process for law-firm clients is retained according to our agreement with each firm, and returned or deleted when the engagement ends, unless the law requires otherwise.
9. Security
We use reasonable administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, access controls limited to people who need access, and vendors chosen with security in mind. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Your choices and rights
- Marketing emails: use the unsubscribe link in any email, or contact us.
- Access, correction and deletion: contact us via our contact page. We’ll verify your request and respond within the time required by applicable law.
- State privacy rights: depending on where you live (for example California, Colorado, Virginia and other states with consumer privacy laws), you may have additional rights. We will honor applicable requests and will not discriminate against you for making them.
11. Children
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13 through this website.
12. Visitors outside the United States
We are based in the United States and process information in the United States. If you contact us from another country, your information will be transferred to and processed in the US.
13. Changes to this policy
We may update this policy from time to time. We’ll post the updated version here and change the “Last updated” date above.
